Team and roles
Everyone who can sign in to a workspace is a member, and what a member may do is what the roles they hold allow together. Members and roles are under Members, in the studio’s sidebar under Workspace. They are managed in the live workspace, never in its sandbox.
Invite people
Section titled “Invite people”Choose Invite people, enter one or more Email addresses (separated by commas or new lines), pick their Roles and choose Send invitation. Each invitation is mailed, and its link works for 7 days; Copy link gives you the link to send yourself. Under Pending invitations, Send again makes a new link and stops the old one, and Withdraw cancels it.
An invitation is for one address: only an account with the email it was sent to can accept it. It answers to whoever sent it, so if they lose the roles it offers, or leave, the link stops working.
The Free plan has one member, the person who made the workspace; Starter, Pro and Business have no limit. See Billing.
Built-in roles
Section titled “Built-in roles”Every workspace has three, which can’t be changed:
- Admin: everything, including members, roles, billing and keys. Only an admin creates secret keys.
- Editor: creates and edits templates, blanks, inks and assets, and sees designs and orders.
- Viewer: sees templates, blanks, inks, shapes, palettes, assets, fonts, automations, printshops, designs, print files and orders, and changes nothing. It does not see API keys, webhooks, members, roles, the workspace’s settings or the audit log.
Custom roles
Section titled “Custom roles”A workspace can add roles of its own, on every plan: under Members, choose Roles, then Create role. Give it a Name and tick what it may do in each area — Create, View, Edit or Delete — across templates, publishing, blanks, inks, shapes, palettes, fonts, assets, designs, print files, orders, the printshop, automations, API keys, webhooks, members, roles, the workspace’s settings and the audit log. An area offers only the actions that mean something for it: orders can be viewed, never deleted.
Publishing is its own area, apart from templates: a “Designer” role can draft and change templates all day and still need someone else to put them in front of customers. Two areas give more than their name suggests: managing Webhooks sends every event, orders included, to an address the member chooses, and the Audit log shows every member’s name and address.
You can give, change or take away only what you hold yourself: boxes you can’t tick are permissions you don’t have. A role can’t be deleted while a member or an invitation holds only that role.
Change or remove a member
Section titled “Change or remove a member”Open a member’s roles to change them; a member always holds at least one. Remove takes away their access at once. A workspace always has an admin: the last one can’t be removed or lose the admin role, so make someone else an admin first. You can’t remove yourself; to leave, see Your account.
Some changes ask you to sign in again first. When a change takes away permissions an automation acts with, the studio names the automations it would stop before you save.
